Job Description Summary

The Marketing Cloud Administrator will play a crucial role in optimizing the Salesforce Marketing Cloud platform for Penn’s Office of Development and Alumni Relations (DAR). This position oversees technical support and user enablement for approximately 200 users across more than 25 Business Units in two Marketing Cloud instances, manages deliverability and sender reputation, and directs the future roadmap for implementing additional functionality and scalability. This includes administering automation, monitoring and auditing metrics to maintain high deliverability and engagement scores, developing best practices to ensure compliance with CAN-SPAM, GDPR, and other guidelines, and ensuring DAR stays within the agreed-upon limits for the number of active users and subscribers/contacts.

 

The Marketing Cloud Administrator will collaborate closely with the team managing our in-house Salesforce CRM (Compass), data analytics and prospect research, communications and marketing, alumni relations, and annual giving teams to ensure that the platform is leveraged to its optimal capabilities.

 

Job Description

 

Job Responsibilities

 

Platform Optimization: Oversee maturation of the Marketing Cloud platform at Penn DAR. Continuously improve and fine-tune the Marketing Cloud platform to meet Penn DAR’s specific needs. This includes configuring data models, managing Salesforce Marketing Cloud Connector, journeys, automation, and API and other third-party integrations. Identify ways to best leverage digital channels to achieve desired results and advise colleagues in this area, especially through content personalization and marketing automation.

Platform Maintenance and Updates: Maintain a high awareness of trends and best practices in digital marketing and the Salesforce ecosystem including Salesforce CRM enhancements and releases. Lead integration of changes, updating business processes, and ensuring users are informed of updates.

Governance and Advisory Group leadership: Lead cross-functional advisory group/working group to establish and maintain governance processes and business practices specific to the Penn environment.

Documentation and Oversight: Document agreed upon governance framework and business processes and ensure that all marketing cloud activities across DAR comply with established governance frameworks and established best practices.

Data Management: Work with colleagues to ensure data hygiene, segmentation, and personalization within the Marketing Cloud. Ensure exclusions and preference centers are being handled appropriately across business units. Inform strategy that leverages data to drive targeted communications.

Consultation: Provide guidance to individual colleagues and teams on best practices, features, and capabilities of Marketing Cloud. Monitor usage to identify when established business processes are not being followed. Work with the Training team to ensure that users are employing best practices and course correct where necessary. Participate as needed in meetings of the existing Salesforce Marketing Cloud Trailblazer Group (end-user group).

Reporting and Analytics: Assist colleagues in setting up reports and data views that allow them to monitor digital campaign performance, track KPIs, and generate actionable insights.

Compliance: Understand industry best practices, email regulations, and compliance measures related to email development (such as CAN-SPAM and other relevant data/privacy regulations). Develop knowledge of FCC SMS/MMS regulations, guidelines, and policies. Conduct regular audits to ensure adherence to email best practices and compliance standards.

Resource Management: Manage allocation for various limited Marketing Cloud resources (such as monitor and assess available user accounts, total number of Contacts, and Super Messages). Evaluate the need for additional resources or tools to enhance Marketing Cloud capabilities.

Project Management: Collaborate on emerging cross-functional projects and Marketing Cloud enhancements related to alumni engagement, fundraising, and donor relations.

 

Qualifications

 

Salesforce Marketing Cloud Certification: Salesforce Marketing Cloud Administrator and Email Specialist certifications are required, and Developer certification is preferred.

Hands-on Experience: Bachelor’s Degree; 2-3 years (Salesforce Administrator job profile) or 3-5 years (Salesforce Administrator Senior job profile) of experience in Salesforce Marketing Cloud or equivalent combination of education and experience required. Proficiency in all aspects of digital marketing within Marketing Cloud including but not limited to Email Studio, Automation Studio, Web Studio (specifically Cloudpages), and Mobile Studio.

Technical Skills: Familiarity with data models, Salesforce integration, and programming languages including an understanding of SQL, HTML/CSS, and AMPscript. Knowledge of Java and/or Apex, SOQL, SSJS, and Javascript is also beneficial but not required.

Client-Facing Abilities: Comfortable communicating with a broad array of internal stakeholders, handling objections, and presenting complex topics in a simplified manner.
