WHO WE ARE LOOKING FOR

Are you passionate about using data, technology, and organizational skills to help non-profits meet the needs of their community? United Way is seeking a Database and Gift Processing Specialist who will play a critical role in supporting United Way’s fundraising operations. This position is responsible for the accurate and efficient recording of gifts and pledges from multiple donation channels, ensuring compliance with United Way and IRS standards. The specialist will maintain the integrity of donor data in our Salesforce CRM, troubleshoot discrepancies, and generate insightful reports to support our fundraising strategies.

KEY AREAS OF RESPONSIBILITY

  • Gift and Pledge Recording: Accurately record gifts and pledges from various sources (mail, online platforms, stock gifts, third-party vendors) in Salesforce CRM, adhering to United Way and IRS standards.
  • Data File Preparation: Prepare and clean data files for upload into the CRM, ensuring donor details and gift designations are accurate and complete.
  • Data Management and Integrity: Maintain and organize donor and constituent information within the CRM to ensure comprehensive, reliable data. Oversee data hygiene through routine checks and updates, and document procedures to streamline workflows.
  • Reporting: Generate accurate data reports to provide insights into fundraising performance, donor engagement trends, and campaign effectiveness. 
  • Giving Platforms Management: Oversee and manage United Way’s giving platforms to ensure a user-friendly, donor-centric experience.
  • Operational Support: Support the operational components of fundraising activities, assist in resolving gift discrepancies, and collaborate with the finance team to reconcile CRM-recorded gifts with accounting systems and bank records.

Requirements

MINIMUM QUALIFICATIONS:

  • Two to three years of related work experience, preferably in a non-profit setting. Bachelor’s degree a plus.
  • Experience with Customer Relationship Management (CRM) platforms or other databases; Salesforce or fundraising platforms preferred.
  • Experience in extracting, transforming, and loading (ETL) data between various systems.
  • Proficiency with Microsoft products including Word, Excel, and other Office 365 applications.
  • Knowledge of Excel lookup and database formulas, pivot charts, and PowerQuery.
  • Familiarity with HTML and CSS languages. Ability to communicate design requirements to vendors for more advanced web design.

DESIRED KNOWLEDGE & SKILLS:

  • Demonstrated experience with data entry and working with strict deadlines.
  • Comfort in summarizing and transforming data.
  • Demonstrated comfort in learning new software/ online tools as needed.
  • Ability to make use of available resources to solve problems on the fly.
  • Experience working in cross-functional settings and/or meeting the needs of multiple people or departments.
  • Ability to work with diverse staff and volunteers.
  • Personal qualities of integrity, credibility, and dedication to the mission of United Way.

JOB RELATIONSHIPS WITH: United Way staff, community volunteers and individual donors.

SUPERVISORY RESPONSIBILITIES: None

WORKING CONDITIONS:

  • Normal office environment with little exposure to dust, noise, or temperature.
  • Hybrid position, expected to work 3 days/week in our New Haven office.
  • Ability to lift up to 20 pounds.
  • Extended viewing of a computer monitor.

SALARY RANGE: $52,000 – $58,000 annual salary plus competitive benefits package
