SUMMARY
This temporary position will be responsible for managing and maintaining a number of USA for UNHCR's critical fundraising gift operations functions, ensuring scheduled processes are consistently executed and monitored. (S)he will run daily gift and data uploads and reconciliation reporting, ensuring that all errors and discrepancies are communicated and resolved promptly. This position will also support the daily gift operations of the organization's keying/caging vendor functions, including acknowledgement fulfillment. In this role, the Gift and Data Manager will regularly coordinate with Donor Care colleagues and with staff across departments to ensure process documentation is established and will proactively offer recommendations and solutions that enhance existing processes and improve data quality.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Gift Processing and Vendor Operations
Monitors daily operations of keying and caging vendor:
Supports monthly reconciliation process ensuring that all gifts committed within 1 week of the close of the month and providing troubleshooting support for batch exceptions, gift uploads and financial reconciliation:
Gift Data Quality Control
Collaborates with the Donor Care team on the identification, troubleshooting and timely resolution of data integrity issues, offering recommended solutions for future improvement and assisting with data clean-up efforts
Contact Center and Fulfillment

ESSENTIAL DUTIES AND RESPONSIBILITIES
Gift Processing and Vendor Operations
Monitors daily operations of keying and caging vendor:
- Ensures daily transaction files are posted successfully and that data is accurate and timely
- Promptly responds to vendor needs, working across teams to address data errors as needed and to perform necessary testing
- Promptly notifies staff of successful data transmissions, processing delays or other changes in gift processing status that can impact teams’ work and reporting
- Conducts weekly audits of Direct Mail gift documentation to ensure accurate entry; resolving action flags denoting the need for further staff assistance
- Monitors rejected payment reports and resolves upload exceptions
Supports monthly reconciliation process ensuring that all gifts committed within 1 week of the close of the month and providing troubleshooting support for batch exceptions, gift uploads and financial reconciliation:
- Maintains status report of all gift entry across giving platforms and channels
- Generates necessary gift reporting from Salesforce on a daily, weekly and monthly basis
- Proactively identifies and resolves gift entry and coding discrepancies
- Liaises between vendor and the Finance team to promptly triage and address reconciliation and data integrity issues
Gift Data Quality Control
Collaborates with the Donor Care team on the identification, troubleshooting and timely resolution of data integrity issues, offering recommended solutions for future improvement and assisting with data clean-up efforts
- Perform audit of existing upload procedures, deploying enhancements as needed
- Supports exploration and potential implementation of data upload middleware toward greater efficiency and accuracy in our gift and data uploads
- Designs and implements matrix of quality control reporting for consistent and effective review of gift data across channels
- Serves as backup for gift processing and upload functions and performs other duties as assigned
Contact Center and Fulfillment
- Performs audit on inbound call contact center, reporting on key findings and recommendations to ensure optimal donor experience
- Extracts, reviews and posts fulfillment data for acknowledgement and outbound call programs
- Liaises with Data Systems team on enhancing Salesforce Service Cloud case management system
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- Bachelor’s degree plus 6-8 years’ experience in fundraising data systems, gift management, advancement services
- Experience in Salesforce and Salesforce Service Cloud strongly preferred
- High attention to detail to accurately process large amounts of information
- Ability to work across teams to collectively achieve desired results
- Very strong communication skills, both written and verbal
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to quickly learn new computer software and database programs
- Proven ability to manage time and juggle multiple priorities
- Ability to independently lead a project and serves as a functional SME for department
