Development Database & Operations Manager

The Development Database & Operations Manager plays an important role in advancing the Center for Science in the Public Interest’s (CSPI) fundraising and program goals. Successful candidates will thrive in a detail-oriented environment and must be able to learn quickly and work collaboratively. This position is responsible for the accurate, efficient entry, maintenance and reporting of CSPI’s donor data as a key member of the fundraising staff. They will establish and implement best practices and protocols for data management to support program and revenue-generating teams. 

This position serves as a bridge between Development, Finance, and Marketing by providing critical support for donor relations and financial reconciliation. The ideal candidate will support excellent donor stewardship by working with the Development team to produce donor communications and prospect research.  

The Development Database & Operations Manager will also manage CSPI’s CRM database, EveryAction, optimizing systems for, and in collaboration with, the development, communication, and program teams.  

This position reports to the COO and the preferred location is CSPI’s Washington, DC office where we offer a hybrid work environment. But, we will also consider remote candidates within the US. As a public health organization, CSPI makes efforts to maintain a safe workplace for employees and visitors. We require all employees to be up to date with their COVID-19 vaccines as soon as they are eligible, and the vaccine is available to them. Proof of vaccination is required during the onboarding process. 

Essential Duties & Responsibilities 

Development Database & Operations Management (60%) 

  • Conceptualize, build, and monitor the flow of data within the Development team and through other CSPI teams, external systems, ensuring efficient process as well as accurate data into/out of the CRM. Regularly research and monitor emerging solutions in the industry for their viability and potential to improve systems support of development goals. 
  • Manage the integrity of member and gift records, timely gift processing, revenue tracking, and membership services for mid-level, major donors, and foundations. 
  • Create and document protocols and procedures for best-in-class donor database practices. 
  • Work closely with the Individual Gift Officer, Senior Development Director, COO, and Senior Business Operations Director to manage the relationships with external vendors including data vendors for data integrity and quality control. 
  • Generate quarterly reports for CGA payments using planned giving platform, PG Calc. 
  • Develop policies and procedures to maintain accurate donor records reflecting all gifts and key communications, oversee gift processing policies and procedures to ensure gift entry happens accurately, in accordance with donor’s intent, and related best practices. 
  • In collaboration with the Finance team, develop strategies to reconcile mid-level, major donor, and foundation gifts monthly between EveryAction and the financial accounting system. 
  • Create and manage a suite of regular Development reports to ensure that decisions are data driven. 
  • Manage direct mail programs with production vendor including tracking inventory of collateral and maintaining mailings calendar. 
  • Schedule automated reports and pull mid-level, major donor, and foundation lists from EveryAction for reporting, acknowledgements, and mailings. 
  • Partner with the COO and Senior Development Director to create executive and board level reports as needed. 

Donor Services (10%) 

  • Route email and phone inquiries to the appropriate Development staff member. 
  • Manage acknowledgment letters and stewardship mailings.  
  • Ensure smooth and accurate processing of online donations. 
  • Provide research to the Development team on new and existing donors. 

Organizational Database Management (30%) 

  • Serve as primary CRM administrator for CSPI’s database of record, EveryAction. 
  • Develop and maintain guidelines, data and technology strategies, policies, and procedures by evaluating organization priorities, identifying problems, evaluating trends, anticipating requirements, and integrating that knowledge to create and implement systems. 
  • Proactively lead regular database hygiene and maintenance efforts ensuring a high level of data integrity, including duplicate record management, membership level and management, research and updates of specific datasets, and periodic audits. 
  • Manage the database to maintain accurate and comprehensive data for contacts. 
  • Oversee the quality and confidentiality of contact data. 
  • Manage analytics and reporting to ensure data-driven decision making. 
  • Set and maintain protocols and firewall access to sensitive information. 
  • Manage role-based access and staff training on all CRM systems and develop instructions and trainings to ensure full adoption by staff. 
  • Train and support staff to enter and pull data. 
  • Assist with mapping of contacts. 
  • Strengthen the culture of data and technology throughout the organization through strong user engagement, accurate data, analytics, and reporting. 
  • Manage, test, and work with vendor to update software; monitor system functionality, usability, and uptime; work with system users to identify issues, find solutions, and communicate timely resolutions. 

Qualifications 

  • A minimum of 4 years of donor data management and analysis experience, preferably in a nonprofit organization.  
  • Proven experience with nonprofit CRM software; experience using EveryAction strongly preferred.  
  • Expertise with queries and segmentation including data manipulation skills in Excel. 
  • Familiarity with donor prospecting tools. 
  • Strong analytical and problem-solving capacity with the ability to spot issues within data, systems and processes and proactively fix them or identify possible solutions. 
  • Exceptional organizational skills, meticulous attention to detail, and ability to manage multiple projects simultaneously in a fast-paced, results-driven environment.   
  • Strong communication and interpersonal skills, maturity, tactfulness, good judgment, and ability to handle confidential information with discretion. 
  • Experience with working across teams in a positive, inclusive, collaborative, and strategic organizational culture. 
  • Demonstrated understanding of revenue reporting and budget processes in nonprofits. 
  • Advanced proficiency with Excel; proficiency with MSOffice applications, including Word.

Compensation

The salary range is $70,000 - $85,000, based on experience. CSPI offers a comprehensive benefits package that includes: 3 weeks of annual vacation leave; additional paid holiday leave between December 24 and January 1; 8 weeks of paid parental leave; excellent medical and dental insurance with CSPI paying a significant portion of employee and dependent premiums; and a 3% employer match contribution to the retirement plan after one year of service.
