The Database Analyst is the primary resource for data collection and maintenance and is critical to the organization’s information management system. As a member of the administrative and finance department, this position is responsible for data management and oversight of data entry for PHR’s two database systems powered by Get Active on the website and Raiser’s Edge. The Database Analyst is responsible for technical support, vendor relations and staff training and will work closely with all departments within PHR.
Specific Responsibilities include
-- Data Management
o Manage GetActive and Raisers Edge systems including managing user lists; merging records; and managing the Get Active-Raisers Edge bridge
o Ensure database security and integrity
o Data entry and clean up as necessary
o Create custom reports and queries for interdepartmental needs
o Master the nuances of the data collected, understanding what it represents and how fields relate to each other within both systems
o Manage email bounce-backs; update and clean returned mail records in the database, develop a system for communicating email bounce backs to appropriate program or development staff
o Take appropriate steps to track down incomplete data and to initiate requests for new data, in coordination with the proper department
o Analyze data for trends and relationships; identify gaps and recommend/implement solutions
o Proactive list development in order to gather and organize needed/missing data
--External Communications
o Manage newsletter and list subscriptions in coordination with Web Community Coordinator and Individual Giving Officer
o Produce analytic reports for web team, and outreach and development departments to assist marketing efforts
o Propose and implement proactive mechanisms to keep data current, particularly contacts in the human rights and medical community in coordination with research, executive, policy and outreach staff, , etc for use for external public relations use
-- Technical support .
o Identify data concerns that might hinder timely and accurate generation of necessary reports, acknowledgement letters, etc.
o Work with technical advisors from Get Active and Raisers Edge to load patches or system upgrades or troubleshoot technical problems, as needed, and in coordination with
o Serve as back-up to the Development Assistant to ensure that gifts and grants are entered properly into the database and acknowledgement letters are prepared on a daily basis
o Prepare lists and labels for multi-department initiatives, supporting staff by translating their conceptualization of criteria for inclusion/exclusion to specific queries of the data
o Monitor trends in requests and make recommendations for collection of additional data or updates to available coding options.
-- Training and oversight
o Train users on both systems and coordinate data updates
o Manage complex queries from users; provide help desk support
o Oversee data entry and ensure that staff entering data follow appropriate procedures/spot check new entries
o Recommend and implement systems to facilitate flow of information from original sources to Get Active and Raisers Edge systems and to ensure data integrity, checking for duplicates, missing or illogical data
-- Other
o Assist IT Manager with troubleshooting of staff technology problems, daily system back-up, computer installs and updates, setting up the conference room for video conferencing and slide show presentations
o Serve as liaison for inter-departmental data collection & reporting discussions
o Execute other duties as needed and assigned by Supervisor
Qualifications
• Bachelor’s degree or the equivalent combination of education and experience
• Extensive knowledge of and experience with Raisers Edge/Blackbaud
• Knowledge of and experience with Get Active or similar web-based software
• Experience de-duping and integrating data from multiple sources
• Experience with development data and processes
• Experience training users on database systems
• Ability to create reports based on department needs
• Strong team player with high degree of organization, initiative, attention to detail, timely follow-through and high standards for accuracy and efficiency
• Resourceful in researching information and comfortable approaching colleagues for information
• Analytical approach to problem-solving; able to analyze and assimilate information across a broad spectrum
• Interest in human rights/outreach preferred
• Excellent communication and interpersonal skills
• Appreciation of important role of information management in the organization
• Complete respect for donor and constituent confidentiality
